Completed Vulnerable Sector Screening Documents
are due NO LATER than October 1st of the current playing season
Policy revised August 2020- see below
This includes any new Police Record Checks (VSS) or Annual Compliance Declarations
ALL BENCH STAFF:
It is a policy of Ajax & Pickering Ringette Associations that all bench staff who are eighteen (18) years of age or older will provide a current Criminal Background Check / Police Record Check (Vulnerable Sector) (i.e. working with kids). The Association will accept PRCs for the current season provided it has been less than 1 year from the date of issue. Background checks or similar attestations from third parties other than local police (e.g. school boards) will not be accepted. In the interest of player safety and protecting our membership, this is a mandatory requirement for ALL adult volunteers working directly with our younger players.
NEW IN 2020:
All members who have previously provided the Association with a PRC are required to attest on an annual basis that there has been no change whatsoever in your background since the original document that we have on file was issued. Click here to access our Annual Compliance Declaration. Please review, sign and date this document and forward to the Coaching Coordinator (scanned copies acceptable).
All members will need to provide a new Vulnerable Sector Screening document after a period of 3 years.
FOR RESIDENTS OF DURHAM REGION:
Be sure to contact the Association Secretary to request a personalized introductory letter from APRA to allow you to obtain the background check as a registered volunteer, and therefore at a reduced cost ($20 for registered volunteers vs. $55 for the general public). When requesting letters, please indicate your team name/level and role.
To process your background check:
- Visit any police station in the Durham Region. No appointment is necessary.
- You will need to bring two pieces of government ID (one with photo).
- Be sure to bring the personalized introductory letter from the association with you when requesting the background check.
- Payment required (cash, debit, credit).
- Background checks typically take approx. 2-3 weeks to process, plus the time to mail. You can also request at the time you are applying to pick these up in person once completed.
- All completed PRCs are retained by the APRA Coaching Coordinator.
Additional information can be found at
www.drps.ca or by calling 1-888-579-1520, extension 1404 or 1405
If interested, there is only one location in Durham that can process PRCs immediately:

Whitby, ON
Hours: Monday - Friday, 8:00am - 5:00pm

FOR RESIDENTS OF TORONTO:
The association is now registered with Toronto Police Services. If you reside in Toronto, you will need to process your Vulnerable Sector Screening with TPS.
- Request a copy of the TPS Vulnerable Sector Screening waiver from the Coaching Coordinator.
- Print off and complete the form on legal size paper. Make sure you list Ajax Pickering Ringette Association under the Agency Name section, and provide original signatures (no photo copies).
- Enclose certified cheque, money order or bank draft for $20. They do not accept credit cards. The easiest thing to do is to go to a Canada Post outlet and purchase a money order (many local Shoppers Drug Mart locations have an outlet).
- Mail to the address listed at the top of the waiver.
You should receive a response within 2 weeks via mail. There is an expedited service for $65 - you would need to go in person to 40 College St. and would receive a response within 72 hours (via mail).
If there is a birthday and gender match on the RCMP database, fingerprints are required for further screening (not uncommon that this may be required). You would then require an introductory letter from the association introducing you as a member that wishes to volunteer with APRA (contact the coaching coordinator), and take this with you when you go to 40 College Street to process.
